After entering the Adobe Connect Room (see "minimum requirements" on the menu bar), delegates that are scheduled to intervene remotely should follow the procedure explained below.
 
Firstly, click on the option "Join teleconference" on the top right of the meeting room and proceed by clicking on the green button "Call my Phone". Select your country from the list and enter the landline phone number without the country code. Finally, click on the option "Call me".
 
Delegates will be muted by default and placed on the floor channel where they can listen to presentations in the speakers' language.

Delegates who wish to follow the meeting without intervening or making use of interpretation do not need to join the teleconference. They will be able to listen to the floor channel just by entering the Adobe connect room and selecting the language​ they prefer.

According to the RP Protocol, the RP Moderator informs the Chair when a remote presenter requests the floor. Presenters who wish to intervene are welcome to click on the option "Raise Hand" on the top bar of the Adobe Connect room. The request will be considered by the RP moderator and the Chairman of the meeting.

Once you are given the floor, you will hear a message saying "you are now able to speak". Start your intervention by stating your name and the organization that you represent. Conclude your intervention by saying "this ends my intervention".

Attendees

 
​In every online meeting room there will be an Attendees pod such as the one below. The attendees are divided in Hosts, Presenters and Participants.
 
The meeting Hosts are the moderators and coordinators of the e-participation, do not hesitate to ask them for help with anything related to remote participation in that specific meeting.

Chat

 
The Chat pod allows you to have both private and public chats with all remote participants.
 
The meeting moderator uses the Chat pod to communicate important events and to talk to all participants. If you wish to start a private chat with any of the participants, presenters or hosts, just scroll over the person's name in the attendees pod and click on "Start Private Chat".

Documents

 
The online meeting rooms will have the relevant documents displayed for the participants during each speech/presentation. You are able to scroll through the documents without affecting other participants as well as viewing them in full screen.
If you are doing your presentation remotely, please send the documents to the meeting organizer prior to the meeting.

Sharing your webcam

 
When making an intervention, RP Presenters are encouraged to start and share their webcams so that other physical and remote delegates can see you. For this, you need to click on "Start my webcam" and then on "Share my webcam" on the video pod. It is important to ensure that your front light is stronger than the backlight in order to have a clearer image. An example is provided below.

Footprints

​E-participation is not only a viable solution for people who cannot physically attend a meeting but also an environmental friendly option.
 
During every meeting a Footprints pod is displayed on pertinent occasions so delegates can see the positive impact of managed remote participation.
