Preliminary information about the venues can be found&nbsp;<a href=\"https:\/\/wtdc2025.az\/program\/social-events\" target=\"_blank\" rel=\"noreferrer noopener\">here<\/a>.<br><strong>Eligibility:<\/strong>&nbsp;ITU Member States and Sector Members of ITU-D.<br><strong>Reservations:<\/strong>&nbsp;Due to the limited number of social event slots and venues, reservations will be made on a first-come, first-served basis.<br><strong>Co-hosting:<\/strong>&nbsp;When a social event is organized by multiple organizations (e.g., one Member State and several Sector Members), a main organizer\/focal point must be designated for coordination purposes.<\/p>\n<\/div>\n\n<div class=\"ituContainer\">\n<p><strong>ITU Protocol Support:<\/strong><\/p>\n<\/div>\n\n<div class=\"ituContainer\">\n<ul class=\"wp-block-list\"><div class=\"ituContainer\">\n<li>Protocol will maintain a calendar of social events with available slots. This calendar is designed to help Member States and Sector Members avoid scheduling events on the same date and time.<\/li>\n<\/div>\n\n<div class=\"ituContainer\">\n<li>In case of scheduling conflicts, Protocol will assist in proposing alternative dates and times. Protocol will only intervene to identify overlaps and suggest possible time slots based on the calendar of events.<\/li>\n<\/div>\n\n<div class=\"ituContainer\">\n<li>Interested social event organizers are invited to contact Protocol by email, at&nbsp;<a href=\"mailto:protocol.service@itu.int\">protocol.service@itu.int<\/a>, to reserve a time slot.<\/li>\n<\/div>\n\n<div class=\"ituContainer\">\n<li>Once their time slot is reserved via Protocol, social event organizers will be connected with Azerbaijan, through a dedicated focal point, for all information and arrangements related to quotations, contracting and billing, F&amp;B and AV equipment orders, onsite setup, pre-event visits, rehearsals, etc.<\/li>\n<\/div><\/ul>\n<\/div>\n\n<div class=\"ituContainer\">\n<p><strong>Invitations:<\/strong>&nbsp;As per usual practice, ITU will not distribute invitations or share participant lists with social event organizers. If invitations are prepared by organizers for their own use and communication strategy, a copy should be sent to&nbsp;<a href=\"mailto:protocol.service@itu.int\">protocol.service@itu.int<\/a>&nbsp;for prior knowledge. Invitations to social events should not carry the ITU logo.<\/p>\n<\/div>\n\n<div class=\"ituContainer\">\n<p><strong>Communication:<\/strong>&nbsp;The calendar of social events will be published on the event website and updated by Protocol. During the event, the daily calendar will be displayed on screens at the Conference venue, and social events will be announced on the day by the Chair of the preceding meeting.<\/p>\n<\/div>\n\n<div class=\"ituContainer\">\n<p><strong>Access control<\/strong> for social events falls under the responsibility of the event organizers, who are expected to manage entry arrangements as appropriate.
