Practical Information Related to Meetings
Registration of participants to CWGs, Committee and the Council is usually carried out exclusively on-line by
Designated Focal Points (DFPs)
who are responsible for the handling of all registration formalities for their entity.
However, for CWG meetings to be held from 10 to 14 October 2016, ITU is piloting a new system to improve the registration for its meetings. Please see details information at http://www.itu.int/en/council/Pages/groups-registration.aspx.
Confirmation of registration and identification badges
Upon registration, you will receive an acknowledgement of your request to participate in the meeting(s). An e-confirmation of registration will be sent to you as soon as your request is approved. It will contain your registration identification number (ID) as well as detailed information on where and when to collect your badge.
Unless otherwise specified in the meeting invitation letter, the registration desk is located in the entrance of the
ITU Montbrillant (M) building at 2 rue de Varembé, Geneva.
Visa Support – Meetings in Switzerland
Citizens of some countries are required to obtain a visa in order to enter Switzerland. Visa applications must be submitted to the Swiss foreign mission closest to their place of residence
at least four (4) weeks prior to the planned travel date.

Visa support, when needed, should be requested during the on-line registration process.
The following information must be provided for each participant requiring visa support:
- Name on passport
- Date and place of birth
- Passport number
- Passport issuance and expiry dates
- Passport country of issuance
There is no need to send further documentation to ITU as the visa support request procedure will follow automatically. For meetings held in Switzerland, please allow up to
21 days for a confirmation of support to be provided by ITU.
Visa support confirmations will be sent to the DFP who will be responsible for forwarding each confirmation to the concerned participant. Support confirmations will NOT be sent directly to meeting participants.
The ITU Secretariat cannot intervene to obtain entry visas to Switzerland issued at the airport.
Meetings of the Council, Council Working Groups and Committee meetings will be audio-webcasted and can be followed from an internet-connected laptop or PC.
Access to audio-feeds is restricted to TIES users.
Links to the webcast are normally added the day before the meetings start on the webpage of the corresponding group.
Remote participation will be made available for Council Working Groups and Committee meetings via the online registration form. Participants are invited to inform the Secretariat, upon online registration, if they wish to participate remotely.
Please note the following:
- Requests for remote participation must be submitted at least four weeks prior to the opening of the meeting.
- Use your TIES credentials to join the virtual meeting.
- Make sure you are sitting in a quiet place where there is a landline phone and good quality webcam.
- Once you are in the virtual room, you will be able to listen to the meeting audio through computer speakers, see the video and presentations from the room and communicate with the remote conference host.
